Supplier Terms & Conditions

For suppliers using the StokSource portal and community. The English text of these Terms governs.

1. Acceptance of these terms

These Supplier Terms & Conditions ("Terms") govern your company's use of the StokSource supplier portal and supplier community at stoksource.com ("the Platform"). By registering a supplier account, accepting a buyer's invitation, or using the portal, you agree to these Terms on behalf of the company you represent, and you confirm you are authorised to bind it.

2. What the portal is

The portal lets your company receive and acknowledge purchase orders, respond to requests for quotation, submit invoices, maintain a catalogue of items and prices, exchange messages with buyers, and manage your company profile and documents. One supplier account can serve multiple buyer organisations; what each buyer sees is limited to the documents between you and them.

Portal access for serving a buyer is free of charge to you.

3. The supplier community

Listing your company in the StokSource community is optional. While listed, your public profile (company name, location, categories, description) is visible to buyer organisations on the Platform, which may send you connection requests. You choose which requests to accept; accepting opens a workspace with that buyer.

Community membership is free for your first year. After the free year, remaining listed in the community costs USD 20 per month. We will remind you before the fee starts; if it is not paid, your company's name is blocked from the community — removed from the directory and from discovery by new buyers — until payment resumes. Non-payment never cuts off your access to buyers you already serve: purchase orders, RFQs, and invoices with existing buyers continue to work.

4. Truthful information and verification

Everything you publish or file on the Platform — profile, catalogue items, prices, quotations, invoices, company documents — must be accurate, current, and yours to provide. Misrepresentation is grounds for delisting or account termination.

A "Verified" badge means StokSource reviewed information your company provided at a point in time. Verification is at our discretion, may be withdrawn if information proves inaccurate, and is not an endorsement of your company.

5. Your relationship with buyers

StokSource is a tool, not a party to your trade. Contracts for goods or services — including every purchase order you acknowledge, quotation you submit, and invoice you raise — are between your company and the buyer alone. Approval onto a buyer's vendor list, payment for your invoices, and the terms of your trade are matters between you and the buyer.

Documents you file with a buyer (registrations, licences, certificates) become part of that buyer's compliance record of your company. You can replace a document with a newer version, but filed versions remain part of the record your approval was judged against.

6. Your account and data

Keep your credentials confidential; you are responsible for actions taken under your account. Your quotations, prices, and documents are visible only to the buyer they were addressed to — never to other buyers or other suppliers. We do not sell your data.

We may use the details you register — company name, contact name, email, country and city — to send you information about StokSource, and to name your company in material describing the community while you are listed in it. Your trading data is never used this way: quotations, prices, invoices and the documents you file with buyers are excluded. Every marketing message carries an unsubscribe link, and opting out changes nothing about the portal or your buyers.

7. Acceptable use

You must not use the Platform to break the law, to infringe others' rights, to submit fraudulent documents, to transmit malicious code, or to attempt access to data that is not yours. We may suspend or delist accounts that put the Platform, buyers, or other suppliers at risk.

8. Liability

To the maximum extent permitted by law: the Platform is provided "as is"; we are not liable for indirect or consequential loss, loss of profit, or loss of business arising from your use of the Platform or from any transaction with a buyer; and our total liability to your company in any 12-month period is limited to the fees your company paid StokSource in that period (which may be zero).

Nothing in these Terms excludes liability that cannot be excluded by law.

9. Termination

You may unlist your company or stop using the portal at any time. We may suspend or terminate accounts for material breach of these Terms or where required by law. Buyers you serve keep the documents already exchanged with them — those are part of their records.

10. Changes and governing law

We may update these Terms; material changes will be notified inside the portal or by email at least 14 days before they take effect, and continued use after that date is acceptance. These Terms are governed by the laws of the State of Qatar, and the courts of Qatar have exclusive jurisdiction.
